Compare document revisions

Manager users in the Authors role can compare the changes between two document versions.

  1. When the folder tree is displayed select the document for which to display history.

  2. Select Details & Actions > History.

    The History window displays.

  3. Review the document history details.

Description

 

The document version number.

 

The Viewer Viewers are users with Read-only access to documents. They can access documents and submit feedback to editors history indicates when the document was saved at 100%.

  •   = current version

  •   = previous versions

Version date

The date the document was saved.

Editor

The author who last updated the version.

The percentage complete.

Change note

Displays notes typed by the author or import information.

Viewer history note

The change notes the author saved for Viewer history.

Note: This is a configurable option and may be turned off in your database.

Status

The status of the version.

Workflow Documents accessed from a review or approve list in the Folder view. type

Either:

  • Manual; or

  • Scheduled.

The workflow status of the version.

Workflow start

Either the:

  • Scheduled review start date; or

  • Date the document was manually saved for review/approve.

  1. Select a version number.

  2. Click Compare.

    The Compare window displays the version.

  3. Select a second version number.

    The Compare window displays the second version.

  4. Click Compare selected versions.

    Read-only versions of the documents display side by side.

    Note: The older version displays on the left, the newer version on the right. The document version number displays at the top of each window.

  5. Click   Hint.

  6. A color legend displays to help you interpret the changes.

If the content is highlighted...

 

Then...

 

Green

Text or element was added.

Red

Text or element was removed.

Yellow

Text or an element was added to existing text.

Orange

Text or an element was removed from existing text.
